Description
We are seeking a skilled and detail-oriented Payroll Specialist to join our team, supporting payroll operations across the U.S. This position plays a critical role in ensuring payroll compliance with federal, state, and local regulations. The ideal candidate will work closely with ADP and internal departments to process bi-weekly multi-state payroll for over 30,000 employees. The Payroll Specialist will be responsible for auditing, reporting, and managing complex transactions while supporting process improvements in a shared services environment. This is a fast-paced role that requires strong technical skills, analytical thinking, and excellent interpersonal communication.
Responsibilities
- Partner with ADP’s managed payroll services to ensure accurate, timely multi-state payroll processing
- Ensure compliance with federal, state, and local wage and hour regulations
- Process payroll inputs for new hires, terminations, bonuses, and complex transactions including expats, inpats, and stock options
- Manage time and attendance systems and union contract configurations
- Research and resolve payroll cases and escalations; support employees through ticketing systems like Service Now
- Support internal/external audits and maintain internal controls and documentation
- Validate, balance, and submit Rapid Pay Data to ADP; monitor flagged items for review
- Handle special transactions such as vacation payout for immediate-pay states and legal agreements
- Participate in mergers, acquisitions, and continuous process improvement initiatives
- Serve as a backup for Puerto Rico payroll and non-exempt processing as needed
Education
- High school diploma or GED required
- Bachelor’s degree in a related discipline preferred
Experience
- Minimum 3 years of experience in payroll, preferably in a fast-paced, high-volume environment
- Experience with ADP Enterprise System and payroll processing vendors
- Strong working knowledge of wage and hour laws and union payroll practices
- Proficiency with Excel and PowerPoint
- Preferred experience with Workday HRIS, Service Now, and payroll-related compliance audits
- Prior experience working with interdependent departments such as HR and Finance
