Description

Remote Role through AgileOne- May need to travel to Rahway, NJ site once a year. 

This contract role provides dedicated budgeting and financial coordination support for Project X, a highly confidential enterprise initiative. Supporting the Strategic Access, Policy & Communications (SAPC) group, you will partner closely with the SAPC Project X core team, the PMO, global cross-functional stakeholders, and third-party vendors to ensure effective management of assigned project funds. In this role, you will lead budget planning, tracking, forecasting, and reporting across multiple workstreams to drive strong business outcomes.

 

Responsibilities

  • Budget Tracking & Administration: Maintain and update budget trackers, monitor budget availability, track planned/committed/actual/forecasted spend across workstreams, and flag potential overages, gaps, or timing risks.
  • Forecasting & Variance Analysis: Support recurring budget forecasting cycles, analyze variances between budgeted/actual spend, identify risk factors, and assist with scenario planning.
  • Leadership Reporting: Prepare budget summaries, dashboards, and status reports for SAPC and Global Communications leadership and finance partners.
  • Documentation & Records: Maintain clear documentation of budget changes, assumptions, approvals, and open actions, while responding to ad hoc reporting requests.
  • Stakeholder & Vendor Coordination: Coordinate with internal stakeholders, finance partners, procurement contacts, and external vendors/agencies to gather required budget inputs.
  • Invoice & Contract Follow-up: Follow up on outstanding invoices, estimates, statements of work (SOWs), and other budget-related inputs to keep processes moving on schedule.
  • Cross-Functional Alignment: Align budget information across global teams/external partners and ensure timely communication of budget issues to project leadership.
  • Compliance & Confidentiality: Maintain strict confidentiality surrounding all Project X information, ensuring data is shared only with unblinded individuals using approved systems and communication channels.

Education

  • Bachelor’s degree in Business, Finance, Accounting, or a related field.

Experience

  • 5+ years of experience supporting budgets, financial operations, project management, procurement, agency management, or related business functions.
  • Experience supporting annual budgeting, forecasting, and financial reporting processes, including identifying budget risks and recommending solutions.
  • Proven track record of managing multiple budgets/projects simultaneously with cross-functional, global stakeholders within set timelines.
  • Experience working directly with external agencies, vendors, procurement teams, and finance partners.
  • System Proficiency: Advanced proficiency in Microsoft Excel and PowerPoint, with familiarity in SAP, Ariba, Power BI, or similar financial/reporting tools.
  • Industry Experience (Preferred): Prior experience in pharmaceutical, biotech, or another highly regulated industry.
