Description
The Administrative Assistant III provides high-level administrative support to directors and executive leadership, ensuring efficient day-to-day operations and enabling leadership to focus on strategic priorities. This role requires a proactive and organized professional who can anticipate needs, manage competing priorities, and handle confidential information with discretion. The position supports scheduling, travel coordination, documentation, and special projects while serving as a key point of contact for internal teams and external stakeholders.
Responsibilities:
- Serve as the primary point of contact between directors/executives and internal or external stakeholders.
- Manage complex calendars, schedule meetings and appointments, and provide timely reminders.
- Coordinate domestic and international travel arrangements.
- Handle incoming requests and queries, ensuring appropriate follow-up and resolution.
- Prepare reports, presentations, meeting materials, and executive briefs.
- Process purchase orders and expense reports using company systems.
- Prepare visa applications and support travel documentation requirements.
- Maintain organized documentation and filing systems.
- Monitor office supplies and identify cost-effective vendors or purchasing options.
- Support special projects and administrative initiatives as assigned.
Education:
Minimum: High school diploma or equivalent.
Experience:
- 5–7 years of experience in an administrative assistant or similar support role.
- Proven experience supporting senior leadership or executive teams.
- Strong knowledge of office management systems and procedures.
- Advanced proficiency in Microsoft Office Suite.
- Experience using Concur for expense reporting.
- Experience with purchase order systems such as SAP.
- Excellent verbal and written communication skills with strong attention to detail.
- Strong organizational, planning, and time management skills with the ability to multitask and prioritize effectively.
